Team and permissions

Staff roles and permissions: everyone gets the access they need, and no more

Each person on your team gets their own login. You decide what each role can see and do, down to single actions.

At a glance

Every person gets their own login

Shared logins are how a shop loses track of who did what. In StoreWave, every member of your team has their own email and password, and every sale, refund, discount and stock change records who made it.

When someone leaves, deactivate their login. It stops working straight away, on every device, without anyone having to log out.

Roles you build yourself

Every shop starts with three roles:

  • Owner has every permission, always. It cannot be edited or lose access, so you can never lock yourself out of your own shop.
  • Manager can run the shop day to day.
  • Cashier can sell, run their own drawer and look things up.

Manager and Cashier are only starting points. Rename them, change what they can do, or build new roles from scratch, such as “Stock room” or “Weekend staff”. Each role is a list of ticked permissions: whether it can see or change products, customers, suppliers, reports, settings and staff, and whether it can give refunds, override a discount limit or close someone else’s shift.

Changes take effect on the next thing each person does. Nobody has to log out and back in.

Nobody can hand out more than they have

A manager who can add staff cannot create an account more powerful than their own, give a role permissions they do not hold themselves, or change the owner’s email or password. The owner manages their own login from their StoreWave account. Without that rule, “can manage staff” would quietly mean “can take over the shop”.

Supervisor approval at the till

Some things a cashier should not do alone. With a discount limit set, a discount above it needs someone with permission to approve it. The supervisor types their own email and password into the till for that one sale, and the approval is recorded under their name. The cashier stays logged in, and the supervisor’s details are never saved on the till.

Refunds are a separate permission

Refund authority is the most common way money leaves a shop unnoticed, so it is kept apart from selling. A cashier can sell and look up past returns without being able to refund anything, until you decide otherwise. There is more on returns.

The activity log

Who changed that price? Who voided that sale? The activity log records the changes that matter most, with who made them, when, and what changed:

  • price and cost changes;
  • voided and cancelled sales, returns and refunds;
  • discounts above your limit, and who approved them;
  • shifts opened and closed, pay-ins, pay-outs and drawer opens;
  • changes to settings and roles.

Only roles you allow can read it.

More than one shop

If you run more than one shop from one StoreWave account, each has its own team and its own roles. A manager in one shop has no access to the other.

Questions

Something we did not cover? Ask us.

How many staff logins can I have?

The Free plan includes two team members. Pro has no limit.

Can I change what the Manager and Cashier roles can do?

Yes. They are starting points, and you can change them, rename them, or create your own. Only the Owner role is fixed, because it always has every permission.

What happens when someone leaves?

Deactivate their login. It stops working on their next action, on every device, and everything they did stays in your records under their name.

Can a manager give themselves more access?

No. Nobody can give a role, or a person, more than their own role allows, and nobody can change the owner login from inside the shop.
